Administrative Support Assistant Post

Aim of Role 

The purpose of the post is to work closely with all team members to ensure the smooth running of the department from an administrative point of view.

 Key Responsibilities

To support the Further Training administrator and Further Team

Main Duties

  1. Support the Accredited Awards Manager and Administrator to co-ordinate the administration function of the SFA funded and commercial provision.
  2. Maintain Filing and Archiving systems for Further Training
  3. Maintain Stocks of current sign up paperwork
  4. Data Entry onto PICs (Commercial Learners / Functional Skills Results)
  5. Photocopying paperwork and Fast Track Delivery Materials.
  6. Deal with outgoing Post (Certificates and TNT Parcels)
  7. Order Buffet and maintain electronic Room Booking diary.
  8. Maintain the Laptop Booking system from Assessors
  9. Maintain Employer Public Liability Insurance records for Further Training. Chase up and obtain up to date Insurance once expiry date has been passed.
  10. Maintain the Further Training Website and ensure accuracy of information in a consistent format.
  11. Ensure that all other Quality Assurance surveys are conducted in a timely manner to ensure accurate data features in the annual SAR and Business Planning Activities
  12. Participate in Reception Duties, when required to cover for Lunch breaks and Annual Leave.
  13. Answer Internal and External telephone calls
  14. Contribute to team and wider organisational KPI’s
  15. Produce Review Reports from PICs
  16. Contact Learners regarding collection of portfolios / certificates
